Choose the simplest useful approach
Not every automation needs an agent. Predictable tasks often work well with ordinary rules and integrations. AI can help when the task involves interpreting language, assembling a draft, or finding relevant information.
We discuss which approach fits before choosing tools. A narrow assistant with review may deliver more dependable value than an open-ended system expected to run an entire business process.
What a focused assistant could do
- Knowledge support: Help staff find relevant information in approved internal documents and direct them to the source.
- Request triage: Suggest a category, owner, or next step for an incoming request.
- Draft preparation: Prepare a response, summary, or project brief using agreed inputs.
- Bounded tool use: Prepare or perform explicitly allowed steps in connected systems, with approval where needed.
These examples are illustrative. They are not live product demonstrations or promises of a particular result.
Define access and review before launch
We agree on what information the system may use, what tools it may access, and which actions need a person’s approval. Client-controlled accounts and limited permissions help make the boundaries understandable.
AI outputs can be wrong or incomplete. The workflow should make checking practical, provide a way to escalate uncertain situations, and avoid treating an unverified answer as a business decision.
Test the cases that matter
A pilot should cover representative inputs, missing details, conflicting information, and situations where the assistant should stop. Evaluate output quality, review effort, errors, and cost per completed task.
For customer communication, a useful first version might draft the reply and queue it for approval. For internal knowledge, it might return a relevant source so a staff member can verify the answer.
